North West Stages Request For Help

The future of the North West Stages event is in jeopardy. Without additional volunteers to take on the duties of the Core Organising Team the event will not be able to run in 2026. This is not what the late Richie Pearl and the late Dave Read would have wanted or expected.

You will see that all of the roles within the Core Organising Team have been summarised with up to 5 bullet points to give people an insight at to what each role covers. The existing members of the organising team would like to hear from enthusiastic individuals that would like to take on a role or contribute their expertise. As a team we are prepared to support new people joining us and those who have stepped aside are also prepared to support and guide our new members.

Northwest Stage – Objectives

To deliver an event that…

  • is challenging for the competitors.
  • attracts competitors from across the country.
  • provides spectators with a great experience.
  • forms part of regional and National Championships.
  • raises the profile of Motorsport in the Northwest.
  • brings economic benefit to local communities.

Key Roles – Core Organising Team

Event Director

  1. Overall co-ordination of the event.
  2. Monitoring and delivering the event delivery plan.
  3. Liaising with local councils and other stakeholders.
  4. Reviewing and approving the documentation for the event.
  5. Event promotion and media.

Clerk of the Course

  1. Overall responsibility for the event.
  2. Ensuring route and timing of the event is achievable.
  3. Submits the TTRO and application for MSUK Permit.
  4. Controls the rally during the event.

Deputy Clerk of the Course (1) Route

  1. Suggests possible route options to the organising team.
  2. Ensures the timing schedule for the event is achievable.
  3. Agrees the requirements for Public Relations for the route.
  4. Liaises with Councils and MSUK for route approval and road closures.
  5. Produces alternative routes for rerouting the event due to incidents.

Deputy Clerk of the Course (2) Stage

  1. Pivotal in establishing the requirements for each stage.
  2. Liaises with each Stage Commander/Team to ensure resources are in place.
  3. Ensures stage equipment requirements are requested to the Equipment Officer.
  4. Checks Stage setups are accurate in the stage setup manuals.
  5. Check each stage setup prior to Safety Car schedule.

Deputy Clerk of the Course (3) Documentation

  1. Is responsible for producing/controlling all documentation for the event.
  2. Liaises with team members to ensure content is accurate and relevant.
  3. Agrees the printing schedule for the documentation.
  4. Distributes the documentation to those who require it.

Assistant Clerk of the Course (1) Stage safety & setup

  1. Ensures that stage setup manual(s) are accurate and meets MSUK requirements.
  2. Works with each stage team to ensure the diagrams are able to be achieved.
  3. Works with the Stage setup teams the ensure resources are available.

Assistant Clerk of the Course (2) MSUK compliance

  1. Understand the current MSUK requirements for closed road stage rallies.
  2. Ensures all procedures meet MSUK recommendations.
  3. Meets the MSUK Stewards requirements during the event.

Commercial Manager

  1. Secures sponsors for the event and each stage.
  2. Maximises commercial income including tickets, merchandise and traders.
  3. Arranges VIP experience(s) at launch and event.

Resident Liaison Manager

  1. Defines which roads are to be included in PR activity.
  2. Liaises with MSUK regional PR contact and councils to share PR activity plan.
  3. Produce PR letters for the stage Residents Liaison Officers.
  4. Respond to residents’ concerns in good time.
  5. Collate and report on the resident survey responses.

Event Secretary

  1. Be proactive in written communication with MSUK, Championships and competitors.
  2. Take a record of each meeting including actions completed and outstanding.

Entries Secretary

  1. Act as the central contact for competitor entries.
  2. Respond in good time to any requests relating to competitors.
  3. Use the online entries system to process, check and confirm details.
  4. Circulate the entries to the ‘seeding team’ in good time.
  5. Publish an entries list and a seeded entries as soon as it is available.

Chief Marshal

  1. Work with the DCofC (Stage) to establish recommended marshal numbers.
  2. Use the Rally Stage Team (RST) system to promote and secure marshals.
  3. Promote the event using social media to secure marshals for the event.
  4. Allocate and confirm marshal numbers.
  5. Arrange for the marshals ‘goodie’ bag.

Event Safety Officer

  1. Produce the event safety plan to meet the MSUK requirements.
  2. Liaise with each stage Safety Office to ensure plans are understood.
  3. Be able to respond to and act on any incident that may occur on the event.

Event Promotion Manager

  1. Produce a marketing plan that delivers against an agreed timetable.
  2. Make use of event website and social media to promote the event.
  3. Liaise with MSUK, councils, sponsors, media and landowners.
  4. Be responsible for creating promotional materials.
  5. Use opportunities such as school visits to help promote the event.

Service Area Controller

  1. Design and produce a plan for the allocation of space and locations of rally HQ.
  2. Establish a pricing strategy for commercial vehicles and traders.
  3. Ensure the allocation of tyres, refuelling and championships are agreed and meet MSUK requirements.

Equipment Manager

  1. Liaise with each stage Equipment Officer to bring together the resources required.
  2. Liaise with Road Safety Services (RSS) to meet the events requirements.
  3. Arrange the distribution and collection of equipment after the event.

Mapping Editor

  1. Produce maps as required to meet the needs of the event.
  2. Produce the stage setup manuals for each stage that are check with stage teams.
  3. Produce the roadbook in advance of the event and ensure check are completed.
  4. Produce spectator mapping to allow access to stage spectator points.

Social Media Officer

  1. Have access to event website and social media platforms for refreshes and updates.
  2. Liaise with Event Promotion Manager to draft media releases.
  3. Work alongside Media Manager to approach other press channels, such as TV and Papers, to help promote the event.

Garstang Manager

  1. Produce a plan for the use of Garstang as a ceremonial start and event finish.
  2. Arrange for the erection of a podium, sound and entertainment.
  3. Liaise with Commercial Manager to seize opportunities for sponsorship.
  4. Liaise with Media and Promotions Managers to ensure publicity of the event.

Spectator Manager

  1. Produce plans and options for ‘fan zones’ is suitable spectator areas.
  2. Arrange for the sale of tickets using any available options.
  3. Arrange for the sale of programmes through all available outlets.
  4. Liaise with landowners to allow access for parking and access to fan zones.
  5. Liaise with Mapping Editor to produce details access and parking maps.
